Over de functie

Your Job as a Junior Office Administrator:
In this role, you will be responsible for managing office operations and administrative duties to support the team. Your main tasks will relate to the administrative support of the team and running the smooth operation of the office. 

Preparing, filing and archiving of documents:

  • Checking the list of incoming documents from the intermediary office and preparing the list of documents.
  • Arranging courier services for document delivery.
  • Printing documents and arranging signatures of the director.
  • Scanning received originals and filing them in respective electronic and hard-copy folders.
  • Managing document archives and communicating with external archive services.
  • Distributing scanned documents to relevant counter-parties and accountants.

Invoices:

  • Maintaining the evidence/excel spreadsheet of all invoices.
  • Filing invoices in respective electronic folders.
  • Tracking invoice payments and maintaining records.
  • Providing accountants with monthly evidence of invoices.

KYC:

  • Checking the list of incoming KYC documents from the intermediary office.
  • Scanning received KYC originals and filing them in respective electronic and hard-copy folders.

Office:

  • Arranging office supplies.
  • Supporting office operations by communicating with operational service providers.
  • Handling ad hoc tasks as needed.

Your Workplace:
You will be part of a close and small team at the office in Schiphol. The collaborative environment emphasizes efficiency and attention to detail. You will work with various departments to ensure smooth office operations and administrative support.

What Do You Bring?
You are organized, detail-oriented, and possess strong communication skills. In this role, efficiency and precision are crucial as you will handle various administrative tasks. Furthermore, you'll bring:

  • a bachelor’s degree in Business Administration, Office Management, or a related field.
  • work experience or internships in office management/administration.
  • excellent knowledge of Microsoft Office. 
  • fluency in English, both verbal and written.
  • conversational level of dutch would be a huge plus.
