About the job
The Position
We are seeking an experienced HR Benefits and Administration Specialist to join our client's EMEA HR Operations team. This role serves as a key point of contact for internal HR-related queries and plays an essential part in supporting HR Benefits and HR Operations teams in delivering seamless and effective HR services.
As a subject matter expert in HR administration, core HR systems, and employee benefits, you will collaborate with cross-functional HR teams to manage administrative transactions, payroll support, and employee records throughout the entire employee lifecycle, ensuring compliance with internal policies and legal requirements.
Key Responsibilities:
- Act as the second-line support for employee queries submitted via the People Services Portal (ServiceNow), including requests related to travel allowances, leave of absence registrations, visa-related questions and payslip inquiries.
- Collaborate with Payroll, HR Advisors, and Centers of Expertise (CoEs) to ensure timely resolution of employee cases.
- Support HR Operations and Benefits teams with administrative tasks across the employee lifecycle, such as 30% ruling applications, immigration registrations/de-registrations, transportation subscription management and onboarding checks (bank account and personal details.
- Maintain and audit employee documentation within the Document Management System, ensuring completeness and accuracy, particularly for immigration-related data.
- Assist with HR reporting activities, including contract end dates and right-to-work expirations.
- Provide support for pension enrollments, insurance contributions, and associated data changes.
The Ideal Candidate:
- Excellent communication skills and outstanding customer service.
- Enjoys fast-paced customer service environment.
- A clear understanding of process interdependencies, HR policies, and guidelines.
- Compliance and risk-focused mindset.
- Transactional and technical knowledge in HR Admin (payroll administration, core data, document management).
- Ideally has experience of Workday and Service Now.
- Ability to learn quickly, analyze information, and exercise good judgment.
- Self-motivated and self-managing, with excellent time management and organizational skills.
